1. Who we are

Gatherfam ("we", "us", "our") operates the website and service at gatherfam.app. Gatherfam is a family-first event invitation platform for planning kids' birthday parties, neighborhood gatherings, potlucks, and more.

2. Information we collect

Account information

When you create a Gatherfam account we collect your email address and display name. We use magic-link authentication—we do not store passwords.

Family and guest information

Hosts provide family member names, email addresses, and phone numbers to send invitations. Guests provide their name, attendance status, dietary preferences, and optional RSVP notes when responding to an invitation.

Event information

Hosts create events that include a title, date, time, location, description, and food coordination details such as menu choices and potluck items.

Usage data

We may collect anonymous usage analytics to understand how the service is used and to improve it. We do not use tracking cookies or sell data to advertisers.

4. SMS / Text Message Notifications

What we send

Gatherfam sends transactional SMS messages only. These include event invitations, RSVP reminders, and day-of event updates. We do not send marketing or promotional text messages. Message frequency varies based on event activity.

How you opt in

Event hosts provide guest phone numbers when creating invitations. However, no SMS message is sent to a guest until the guest explicitly opts in by checking a consent checkbox on the RSVP page (gatherfam.app/e/[token]). This affirmative action is required before any text message is delivered to that number.

What we record

When a guest opts in to SMS notifications, we record the phone number, the opt-in timestamp, and the invitation ID associated with the consent event. This record is retained for compliance purposes.

How to opt out

You can reply STOP to any SMS message from Gatherfam to immediately stop receiving text messages. You will receive a one-time confirmation that you have been opted out. No further messages will be sent after opt-out. You can also contact us at the address below to opt out.

Message and data rates may apply. SMS is delivered via Twilio, which processes messages on our behalf and is bound by its own privacy policy.

5. Email communications

Gatherfam sends transactional emails on behalf of event hosts to deliver invitations, RSVP confirmations, and event updates. These messages are sent only when a host explicitly triggers them (e.g. sending invitations or reminders).

Email opt-out: Each email includes an unsubscribe link. Hosts can manage notification preferences in their account settings.

Email is delivered via Resend, which processes messages on our behalf and is bound by its own privacy policy.

6. How we share your information

We do not sell, rent, or trade your personal information. We share data only:

With event hosts and guests — to facilitate the event (e.g. hosts see guest RSVPs; guests see event details and host contact info)
With service providers — Supabase (database and authentication), Resend (email), Twilio (SMS), Cloudflare (hosting), and Stripe (subscription billing) process data on our behalf to operate the service. Stripe handles all payment card data; Gatherfam does not see or store full card details.
When required by law — to comply with legal obligations, enforce our terms, or protect safety

7. Data retention

We retain account and event data for as long as your account is active. When you delete your account, we remove your personal data within 30 days. Anonymized usage data may be retained indefinitely for analytics purposes.

8. Data security

We use industry-standard security measures including encrypted connections (TLS), row-level security policies on our database, and cryptographically random invitation tokens. We do not store passwords—authentication is handled via magic links and optional OAuth.

9. Children's privacy

Gatherfam is designed for use by adults (parents and guardians) to organize family events. We do not knowingly collect personal information directly from children under 13. Children's names may appear in family member lists as provided by their parent or guardian.

You may request to:

Access the personal data we hold about you
Correct inaccurate information
Delete your account and associated data
Opt out of SMS or email communications

11. Changes to this policy

We may update this privacy policy from time to time. We will notify active users of material changes via email. The "effective date" at the top reflects the most recent revision.
